A 60-second reel shows a demo, not a live system with real users, data, GST invoices, roles, backups and support. If it were that simple, experienced developers would not earn packages of ₹30–40 lakh a year — and firms would not budget for training, attrition and unforeseen incidents.

  1. Write what “done” means. List the actual jobs: users and roles, GST/invoices, reports, mobile vs desktop, integrations (Tally, UPI, WhatsApp, email), data that must stay in India, and who will use it on day one.
  2. Separate three quotes, not one lump. Ask for (1) complete the software, (2) deploy and commission it, (3) keep it running — monitoring, backups, patches, upgrades. A peanut rate that covers only a first demo is not a comparable bid.
  3. Ask who owns the last 20%. Edge cases, permissions, data integrity, error handling, and “what if this user does that” are where cheap projects stall. Get that in writing, with a named owner after go-live.
  4. Check the people behind the quote. Who designs it if the freelancer is ill or quits? Who answers at 11 AM–5 PM, Mon–Fri (excl. holidays)? Who has done GST, DPDP and Indian payment flows before — not just a generated screen?

The short version: reels sell a demo. Your business needs a system that finishes, goes live, and stays live. Those are three different jobs.

What the reel actually shows

A typical promo video shows a person typing a prompt, then a colourful screen, then a “Buy now” overlay. What it does not show:

  • Your GST invoices, credit notes, TCS/TDS, or multi-GSTIN branches
  • Roles (owner, accountant, store, auditor) and who must not see which data
  • What happens when the same order is edited twice, or a payment fails mid-UPI
  • Migration from Excel / Tally / the old software you already use
  • DPDP Act 2023, backups, who has the encryption keys, and where data sits (India vs abroad)
  • Who picks up the phone when it breaks on a Monday morning

AI is a useful accelerator for boilerplate, first drafts and tests. It does not know your business the way your operations head does. It does not sit in a UAT meeting and absorb “we never do it that way in April because of stock taking.” That context is the product.

If generating production software were a few minutes of prompting, experienced developers would not command packages in the ₹30–40 lakh per year range in India. The market is saying, loudly, that judgement and completion still cost money.

The “I will do it for peanuts” trap

Every business hears this: a freelancer, a cousin, or a new shop will “develop everything” at a fraction of a serious quote. Developing a business application that fully meets requirements — and especially completing it — is a different ball game from producing screens that look busy.

A useful rule of thumb in delivery: the first 80% (happy-path screens) is relatively cheap to show. Three tiers — not one quote

Writing code is only chapter one. A successful business application goes through three distinct phases. Mixing them into one “cheap app” number is how arguments start.

1. Development and completion

Turning vague wishes into architecture: data model, workflows, reports, and the exceptions your floor actually uses. AI cannot independently contextualise your operations. A human still has to insist on the last 20% and refuse to call a demo “done.”

When someone quotes from a reel or a “weekend build,” ask them to map their price to the three tiers above and to the last-20% checklist. If they cannot explain deployment, commissioning, and who keeps the system running after go-live, you are probably looking at a demo budget — not a finished business application.
